Job and exam applications ask for many documents: marksheets, certificates, photographs, signatures, experience letters and more. People often panic when a deadline arrives and they cannot find a file or the scan is too large. A little organisation saves hours and reduces mistakes.
Create one master folder
Make a folder on your computer called "Applications" with subfolders such as Education, Identity, Photos and Signature, Experience, Certificates and Resume. Keep original scans in high quality, and create smaller copies only when a portal asks for a limited size. This way you never lose the original quality.
Use clear file names
Names like "scan0023.pdf" are impossible to find later. Use a consistent pattern: Name_Document_Year, for example Priya_Graduation_Marksheet_2024.pdf. Avoid spaces and special characters if a portal has strict rules. A clear name also helps when you need to upload quickly.
Scan properly
Place documents on a flat surface in good light, and use a scanning app or a scanner at a reasonable resolution. Make sure all four corners are visible, text is readable and nothing is cut off. Check each scan on a larger screen before you rely on it. Keep PDFs for multi-page documents when allowed.
Know typical size and format limits
Portals commonly limit photos and signatures to small sizes, sometimes only a few tens of kilobytes, and require JPEG or PDF formats. Read the instructions every time because they differ. The image compressor tool can resize pictures in your browser without uploading them to a server, but check the output against the portal's rules.
Keep a master list
Create a simple table with each document, its issue date, issuing authority and where the original is stored. Include expiry dates for anything that expires, such as certain certificates or no-objection letters. Update the list when you receive something new. This also helps you notice what you are missing before a deadline.
Protect sensitive information
Identity documents contain sensitive data. Store them in a password-protected location or an encrypted folder. Do not send them over unofficial channels, and share them only on official portals or with verified recruiters who request them for a stated purpose. Do not post them on social media or on a public profile. If you must email a document, send it only to an address you have verified.
Back up in two places
Keep one copy on your device and another in a trusted cloud storage or an external drive. Use strong passwords and two-step verification on your accounts. If your phone is lost, you will still have your documents.
Keep your resume current
Update your resume every few months, even when you are not applying. Add new skills, courses and projects, and save versions with dates. Having an up-to-date resume ready means you can respond quickly when a good opportunity appears.
Share only what is needed
For most private-sector applications, a resume and a portfolio link are enough at the beginning. Certificates and identity proofs are usually requested later, at the verification stage. Share them only when requested. A Pehchan profile can hold your resume, public links and contact options in one place, while sensitive documents stay private on your device.
Pre-application checklist
- All scans are clear and correctly named.
- Photo and signature are ready in different sizes.
- Contact details are correct.
- A recent resume is saved as a PDF.
